Import files are used by customers and implementation consultants to load data into Impact for different purposes. 


To ensure the imports get uploaded successfully, please review your files to ensure:

  • column headers match the template exactly

  • each file only contains 1 sheet

  • no formulas, or formatting, or additional columns (if you have made a lot of edits, use a fresh template and copy the data into it.


Here are the types of Imports available and their purpose (click the link to view details):

  1. Default Constituent: This is for any customer who does not use Raiser’s Edge. This needs to be added in order to build reports for active constituents, and should be used for adding complete mailing info for all constituents you want to send reports to.

  2. Fund to Constituent Relationship: Used by all customers to associate your Balance funds (GLID) with the active constituents you want to send reports to. Note: You cannot do this file if you haven’t already uploaded your constituents.

  3. Recipient Page Fund Recipients: Used for populating a table of recipients and shows name, major, hometown, and year of graduation in that specific order and with those specific header values in a specific reporting period.

  4. Recipient Page Fund Bullets: Used for populating up to 5 statements you want to note about the recipients associated with a fund, or can be used as a standalone for information related to a fund for a specific reporting period.

  5. Q&A Page SubmissionUsed for populating Questions and Answers (up to 5) for any fund recipients for a specific reporting period.

  6. Thank You (horizontal) Page Submission:

How to Use the Bulk Import Feature:

  1. Log into Impact 

  2. Select Import/Export from the left navigation pane.

  3. On the Impact page that appears, select Create new import:

  1. Choose the file type you wish to upload (descriptions follow below):

  1. Click Continue. A new page will appear, with a link to download the blank file template:

  1. Click the Download button (circled above). The blank template will download as an Excel file.

  2. Fill out the template with the appropriate data, according to the column headers. DO NOT ALTER THE COLUMN HEADER NAMES. Also, do not add additional columns or additional sheets.

  3. Once your file is filled out and saved (the name of the file can be whatever you wish), click the Browse button, select your file, and click Open.

  4. Click the Upload button. If there are any issues with the upload, an error message will appear with details on how to fix the issue.

  5. If there are no errors, review the changes on the screen and click the Approve Import button. Your import is now complete.

Bulk Import File Descriptions:

There are seven import files available in Impact:

  1. Fund to Constituent Relationship

This import file is used to ensure every Active active constituent in Impact is attached to a Balance fund in Impact for reporting. If you are not using Raiser’s Edge, you must import your constituents before using this import.

For all customers, this is a key import to keep your constituents and funds up to date for reporting purposes


This import spreadsheet has just two columns: 

Fund ID: This is, and must be, the fund’s GLID in Balance, please check that trailing and leading zeros appear as they need to.

Constituent ID: This is whatever ID you use in your system of record for your donors (eg. Raiser’s Edge).

  1. Recipient Page Fund Recipients

If you are using the recipients page in your Impact report, use this import file to add the people who received awards to each fund’s recipient page. There should be one recipient per row. If a recipient received awards from more than one fund, create an additional row per fund.


Columns in this file are:

RecipientID: This is whatever ID you use in your system of record for your award recipient.

FirstName: Award recipient’s first name.

LastName: Award Recipient’s last name.

Email: Award Recipient’s email address.

Hometown: Award Recipient’s hometown. This is usually written with city name and state abbreviation, eg. Miami, FL.

Major: Award Recipient’s major.

ClassYear: Award Recipient’s graduation year.

FundID: This is, and must be, the fund’s GLID in Balance.

RecipientType: Examples of recipient types are faculty, fellowship, scholarship, and staff.

  1. Recipient Page Fund Bullets

If you are using the recipients page in your Impact report, use this import file to import exactly what bulleted items you want on each fund’s Recipient page.


Columns in this file are:

Fund ID: This is, and must be, the fund’s GLID in Balance.

Bullets 1 – 5: These are general statements about the institution or the funds, usually a sentence or two each. Not all five bullets must be used. The information in these bullets cannot contain dynamic information. In other words, it will be the same for all award recipients of that fund.

The following four import files are used for importing data that will appear on Impact Statement pages in your Impact report.


  1. Q&A Page Submission

If you are using the “Q&A “impact statement page for your Impact report, use this import to bring in the data.


Columns in this file are:

Q&A_ID: This is whatever ID you use in your system of record for your award recipient.

FirstName: Award recipient’s first name.

LastName: Award Recipient’s last name.

RecipientID: This is whatever ID you use in your system of record for your award recipients.

Email: Award Recipient’s email address.

ClassYear: Award Recipient’s graduation year.

Major: Award Recipient’s major.

Minor: Award Recipient’s minor (if applicable).

Hometown: Award Recipient’s hometown. This is usually written with city name and state abbreviation, eg. Miami, FL.

International: If the award recipient is from a country other than the United States, indicate the country in the column.

Question1Answer – Question5Answer: These are the award recipient’s answers to questions 1 - 5.

Question1 – Question5: These are the questions posed to the award recipients. There can be fewer than five questions.

FundID: This is, and must be, the fund’s GLID in Balance.
